Performs general office functions requiring the exercise of initiative and independent judgment coordinating the support activities of a department or division.
Required Knowledge, Skills & Abilities
Intermediate knowledge of personal computer software/hardware applications. Oral and written communication skills to interact with individuals from diverse backgrounds. Some positions require typing and/or ten key operations. Knowledge and experience providing effective customer service.
Works with light, easy to handle materials requiring little physical effort. Some positions may occasionally be required to lift and carry moderately heavy material or equipment weighing up to 50 pounds.
Minimum Knowledge and Experience
Graduation from high school or equivalent plus one year of experience in the specific area to which the position is assigned or equitable general office experience. ***Will be subject to a criminal background check. Some positions may be subject to a fingerprint check.***
Essential Duties and Responsibilities
Performs general office functions including typing, accounting, record keeping, maintaining department files, updating records, verifying documents, processing forms, registering students, and performing related calculations. Performs research, analyzes results, and prepares summary reports. Acts as a resource person for the department in answering inquiries of varying complexity relating to the specific functions of the department. Receives and accumulates data; verifies accuracy, completeness and compliance with DCCCD policy and procedures, office procedures, and/or state/federal regulations related to department functions. During peak work times and/or co-workers temporary absence covers other positions as deemed necessary. Coordinates specific office functions, including but not limited to, maintenance of mailing lists and mail outs, arranging of office equipment; ordering textbooks; handling PO’s, NPO’s, blanket purchase orders, etc; processing final grade rolls; ordering supplies; keeping inventory; distributing mail; making travel arrangements, etc. Provide guidance and direction to temporary or part-time clerical staff. Interview individuals, composes articles, design layouts, prepare copy, coordinate reproduction and distribution for a variety of college and/or external publications. Maintain records of department expenditures and provide information relating to budget balances to department head. Coordinate external/internal utilization of campus facilities. Process human resource forms and/or payroll documents. Responsible for arranging maintenance of office equipment including personal computer software and hardware. Provide information and assistance to current or potential students. Performs other duties as assigned.
